Calxa Case Study – Carlisle Health

Carlisle Health is a radiology business servicing the Australian eastern seaboard from New South Wales to Queensland and has been a Calxa Customer for a number of years. In 2024, they were early adopters to Calxa’s first ERP system integration and have greatly contributed in making this connection a robust and accurate data integration.
Tom Young, the Group General Manager of Acquisitions and Finance, has been part of the exciting journey spanning over the past 7 years, “when we started with Calxa we had 2 sites, now we’ve grown to a group of 10+ active companies, 22 active sites, north of $100m revenue and a finance team of 5-6 people.”
The Problem
Initially, Carlisle Health started off using Calxa as a reporting tool to consolidate their 2 Xero entities. As the business grew, this evolved and they made the move to NetSuite for some of their businesses. As is to be expected, they encountered challenges and some hurdles along the way. Good that Calxa could help overcome some of these.
NetSuite Reporting Limitations
Tom and his team found they were constrained by the limitations of the NetSuite reporting capabilities. Accordingly, the news of Calxa’s integration with ERP platforms like NetSuite offered welcome relief.
“We realised that the functionality and capability of NetSuite with regards to reporting and management information wasn’t what we needed. It wasn’t what our board needed. Certainly, it wasn’t what our decision makers and the business needed. Calxa could bridge that gap to present the information in a usable fashion across the Carlisle business,” Tom professed.
The Solution
To overcome the stifling limitations of the NetSuite reporting, the team at Carlisle Health were quick to put up their hand in connecting up their accounts to Calxa. As early adopters of this new integration, they worked closely with the Calxa product team. They helped ironing out initial connectivity challenges to create a robust and accurate integration. The Calxa team found their expertise of the NetSuite data structure invaluable.
What Calxa Can Add that the Standard NetSuite Reports Can’t
Deep Saini is the Group Financial Controller at Carlisle Health and was part of the implementation team, “Calxa is a very dynamic system and we like that it has the benefit of customising the reports and presenting them in a way that we want to present to the board or to the analysts. It’s much more user friendly in a way compared to NetSuite. Those reporting configurations are much quicker and faster and very much set and forget.”
Tom elaborates further, “so what we found from implementing NetSuite was that the suite of reports in there is basic. It doesn’t come with any formatting from the point of view of the way you present your numbers through to branding colours and the aggregation. Being able to present that information in a single pack with a group like ours, spread across 10 different companies required 10 different reports to be produced and appended together into a single document. What Calxa is able to do, is through configuration upfront, drive the way you want to report and how you want to report. Ultimately, the way you want it to look. Once you’ve set that, you can create that report every month with a single click of a button.”
“We found that useful for the production of our board report at a high level. Whilst correlated with each company and presented to our regional managers who look after certain sites required to see the information in a different fashion.”
“The benefits of using Calxa in our business is the ability to, once you’ve configured your reports, press a single button to produce that suite of reports each time you want to produce them.”
To highlight the benefit of Calxa, Tom summarises, “had we been running through NetSuite, every company, every dissection of the data would have been in separate reports that would have been required to be appended together manually with manipulation around things like branding and colouring. That’s all done for you in Calxa, once you’ve done that initial configuration. So, from an end of month point of view our reporting is literally a click of a button as opposed to what would probably be north of half a day’s worth of someone’s time to append all the reports.”
Extending the Use of Calxa
Whilst initially Calxa was planned as a tool to just pull out historical information for the purpose of board reporting and management reporting, the Carlisle team has extended the use to help with future planning.
For Tom, Calxa is invaluable for decision-making, “what we found it very useful for, is as data goes in, it produces and can support that data in a very usable format. So, we look at things like planning and analysis for the business, trends, performances of sites and of site modalities. Any information you put in Calxa can export out in a very usable format that allows for very good analysis.”
Achieving Goals
Calxa helps Carlisle Health achieve its goals by enabling timely and accurate financial reporting. “We’ve never had an issue with a number appearing in a Calxa report that hasn’t accurately pulled from our underlying accounting system,” Tom expands. Furthermore, “being able to have someone ask a question to see a data set cut a different way to be able to just press a button in Calxa to produce it on the spot is what makes it such an exceptional tool for our business.”
“As a business, we are constantly growing, and the team requires something that’s quick and easy and fast. And Calxa provides that in terms of building the bundles, building the reports, cutting and chopping it in a way that’s user friendly and available throughout the whole software. That gives us the ability to just answer the questions without having to work through datasets, etcetera”, Deep echoes the sentiment.
He further expands, “it provides the benefit of that analysis we can do by cutting and comparing data on our reports for the board and business at large. All with a lot of time-savings.”

Tom doesn’t hold back on why he loves Calxa, “the best thing about Calxa and why I keep recommending it to anyone I speak to, whoever sees a Calxa report, or anyone I deal with in a professional environment, is the help desk.”
“The Help Desk for a software provider is exceptional. Calxa’s support is Australian based, prompt, knowledgeable and I’ve been using Calxa now for probably 7-ish years.”
“If I compare it to a NetSuite, for example, where you got to lodge a ticket, the ticket goes into a system, you get a response then within two or three days, then you get some generic response that requires more information. It’s just totally impractical to get a solution quickly when we’re trying to get something done in the middle of an end of month process.”
